Privacy policy
Infosphere is the campus guide on the kiosk and on this website. It only keeps what it needs to answer better, never sells anything, and never knows who you are unless you tell us in a feedback note.
What we keep
- The questions you ask
- The question, the answer Kaela gave, the language and the time. They are not linked to you. The team reads them to find questions Kaela could not answer and to teach her better ones.
- Your voice, briefly
- When you hold the mic, the recording goes to the Infosphere server, is turned into text there, and is deleted a few seconds later. Only the text is kept, as above.
- Page visits
- Which page was opened, when, the kind of device (phone, tablet or computer) and the site you came from. To count returning visitors we store a short code made from your connection and browser with a secret key. It cannot be turned back into your IP address, and the address itself is never stored.
- Feedback you send
- Your message, your rating and the page you sent it from. Your name and a way to reach you only if you untick "Send anonymously" and fill them in.
Cookies and storage
One cookie keeps the site secure (it protects the forms from being sent by other sites, and keeps staff signed in to the admin pages). Your browser also remembers whether you picked the light or dark theme. There are no advertising or tracking cookies, which is why there is no cookie banner. The cookie policy lists each one and how long it lasts.
Services the site uses
- Google Fonts: your browser downloads the typefaces from Google, so Google sees your IP address, like any website you load.
- Microsoft text-to-speech: some spoken answers are made by sending the answer text to Microsoft's voice service. Only Kaela's answer is sent, nothing about you.
- Open-Meteo: the weather is fetched by our server, not your browser. Nothing about you is sent.
Why we use it
To answer your questions, to find the questions Kaela could not answer and teach her better ones, to count how many people use the guide, and to read and act on your feedback. Nothing is used for advertising or profiling.
Who can see it
Only the Infosphere team, through password-protected admin pages. We do not sell, rent or share it with anyone.
How we protect it
- The site only works over an encrypted connection (HTTPS).
- The admin pages sit at a private address, need a password, and sign staff out when idle. The password itself is never stored, only a scrambled form of it.
- Visitors are counted with a one-way code, so the stored data does not contain IP addresses.
- Forms are protected against spam and against being sent from other sites.
Where it is stored
On the server that runs Infosphere, in a database only the Infosphere team can open.
How long we keep it
Until the team deletes it. If you sent feedback and want it removed, ask us on the feedback page; tell us roughly when you sent it and what it said so we can find it.
Your rights
Under Indonesia's Personal Data Protection Law (Undang-Undang Nomor 27 Tahun 2022 tentang Pelindungan Data Pribadi) you can ask to see, correct or delete personal data you gave us, such as your name or contact in a feedback note. Send the request through the feedback page and leave a way to reach you. Because questions and visits are not linked to anyone, we cannot pick out yours from them.
You can also choose how much to share:
- Type instead of talking if you would rather not use your voice.
- Leave "Send anonymously" ticked when you give feedback.
- Ask us to delete feedback you sent.
Children
Infosphere has no accounts and does not ask for anyone's age. Children can use the guide like anyone else; we only hold a name or contact if someone types it into a feedback note, and we will delete it on request.
Changes
If what the site keeps changes, this page changes with it and the date at the top moves.
